When we enter any changes into our Airtable master database they immediately will appear on the Airtable Browse & Calendar views. located here

These updates are then uploaded to the 7 iCal calendars within about 1 hour. It may take up to 12 hours for these changes to appear on your calendar program according to Google and others when subscribing to a calendar. But it is our experience that it normally updates within about 1 hour. See more info below.

Last Update: It is listed at the bottom of the race description field for each calendar event.

Your Help is Needed: Since we are always trying to present the most accurate and complete race data on all races on LI, we can use your help in informing us of any corrections and missing races you may find.

To Submit Corrections/Changes

  1. Start a new email with Subject Line: Race Correction
  2. Copy the race data paragraph located at the bottom of each of the individual calendar full race views, that needs correction, its called Corrections/Changes:
  3. Paste this paragraph into the email so we can easily identify the race that needs the Corrections/Changes.
  4. List the changes below the original data. ie: Suggested Changes are: ie: Location: Eisenhower Park, City: East Meadow, Status: Virtual only, etc. Only list the data that needs to be corrected.
  5. Add any comments about the changes that you may be suggesting if necessary.
  6. send the email to info@lircal.com
  7. Changes will first show up in the Airtable views, and then the calendar subscription links, which are not updated as frequently. 

To Submit New Races, Easy Method

  1. Start a new email with Subject Line: New Race
  2. Put the Name of the race, date, & location in the email body
  3. Include all the website URL address, or as many as you can find!
  4. Send the email to info@lircal.com
  5. Changes will first show up in the Airtable views, and then the calendar links which are not updated as frequently. 

To Submit New Races with detail in a spread sheet

  1. Start a new email with Subject Line: New Race
  2. Put the Name of the race, date, location in the email body
  3. Then add the following field heading info in this order, in either a csv or Excel file
  4. Field Heading List:
    Start Date,Race Name,Website Link 1,Website Link 2,Current Status,Distance,Race Description,Location Venue,Location City,County,State,Type of Race,Hilly/Flat,Race by,Race Managed by,Fun Run,Timer Name
  5. 17 Fields, that you can copy and paste into any spread sheet, and then fill in the race data as best you can. Do not format the data since we will be removing all formatting. 
  6. Click here for a sample SS that you can copy and edit with your new data. Just delete the existing sample data when you are done entering your race data.
  7. Note: As an alternative, you can just add this info to the body of your email if you are not sure how to use a spread sheet file, or csv file
  8. Attach the spread sheet or csv file to your email
  9. Send the email to info@lircal.com

How Calendars get updated:

To update the Master Google Calendars we are now using a program called zzBots. It will look for changes and additions in our master Airtable database of races, and then automatically and immediately update the event on the appropriate master google calendar in our google account.

We use google to host the event calendars, but you are subscribing to these master calendars from any calendar program of your choice. When you subscribe to a calendar, Google states that it may take up to 12 hours for your view to update depending on how busy their servers are at the time. Remember, Google is handling millions of calendars from many many users at the same time. In our experience, subscribed calendars are normally updating in less than 1 hour.
